ANGELS DANCE SQUAD CONSTITUTION
- The name of the association will be “Angels Dance Squad”
- The office for the purpose of the association will be “ Scopwick"
- The association has been established for the following reasons:
i) To help children of all ages develop their social skills
ii) To help children of all ages develop their co-ordination
iii) To encourage children of all ages to improve their overall fitness levels
iv) To give children of all ages a hobby they enjoy
v) To give children of all ages the sense of belonging
vi) To give children of all ages an insight into various aspects of dance, baton twirling and team work
vii) To help children of all ages make friends and have fun.
4. The association will consist of at least 5 committee members and a maximum of 30
Children.
MANAGEMENT
1. The association will be managed by a committee of at least five
2. The committee will be elected annually by parents and volunteers.
2b. Subject to termination of office by resignation, removal by vote or otherwise,
Members shall remain in office until their successors are elected.
3. Re-tiring members may be re elected
SUBSCRIPTION
- The annual subscription shall be £2.00 per member. This will go towards the cost of administration.
VISITORS/TEMPORARY MEMBERS
- There may be times where a visitor or a temporary member may visit the squad (for example, by arrangement and examiner)
REGISTRATION
- Every member must fill in a registration form and hand it back in completed at their first training session.
- Each member will receive or be able to view a copy of the constitution.
- Each member will receive contact details for committee members and how best to contact them.
- Each member will receive a copy of the “Angels Dance Squad” rules
RESIGNATION
1. Any member wishing to resign from the squad may inform any member of the committee
DISMISSAL
1. It is hoped that this is never needed, however, the committee may expel a member who offends, bullies or harasses other members of the squad
2. No member will be expelled without having had the opportunity to discuss with the committee any complaints raised. At lease two thirds of the committee must be present and vote in favour of the dismissal.
GRIEVANCE PROCEDURE
1. Should you have a grievance please in the first instance discuss it with either the Secretary or the Trainer.
2. If a satisfactory outcome cannot be reached from step one then pleaser detail your grievance in writing and then it will be forward to each committee member.
3. If a solution to the grievance cannot be reached then a meeting will be called to air and resolve the grievance.
CHILD PROTECTION POLICY
1. As an association we have a duty of care to ensure that any incidence or suspected incident of child abuse is dealt with correctly.
2. As an association we have a child protection policy that can be viewed at any time.
3. We have designated one member of the committee to act as the child welfare officer who is any case of abuse or suspected abuse would liase with the necessary agencies.
INSURANCE
1. During training members of the squad are insured against accident injury and public liability.
2. Members brought early and collected late will not be insured outside of normal training times
3. Any siblings that watch are not insured if they are not a member of the squad
GENERAL MEETINGS
1. A general meeting will be held in the month of July each year.
2. It is endeavoured that quarterly meetings will be held to discuss the plans, training and fund raising for the forth-coming quarter. Notice of such meetings will be given in writing at least 2 weeks prior
3. At the AGM each member will be able to view a copy of the squads accounts for the previous year.
4. Notice of the AGM, date, time and location will be sent out to members no later than 3 weeks prior to the meeting.
5. Any issues that you wish to discuss at the meeting must be put in writing at least 3 weeks prior to the AGM
6. Election or re-election of members will be voted for at the AGM, anyone wishing to become a committee member is invited to put their intention in writing at least 3 weeks prior to the AGM.
7. An independent chair will be asked to sit at the AGM
8. Minutes will be issued within four weeks of the AGM.
ACCOUNTS
1. The committee shall ensure that proper books are kept at all times.
2. Receipts can be issued for training fees paid monthly and any other items purchased if required
3. Any member may view the books.
4. Petty cash will be available with the recommended sum be held as £50.00
5. For items to be purchased over the sum of £50 there must be two thirds of the committee in favour of the purchase
6. Expenses for travel will be paid in accordance with the Inland Revenue schedule for the current tax year. An approved travel form must be competed and counter signed by the treasure or vice treasure before payment can be made, fuel receipts will be required
7. The association may not distribute any profit for personal gain.
